Asset Deletion Policy

See below for how long we store project files and design assets after completion, and how we manage deletion of client materials once projects are finished.

This policy outlines how Mawer Design stores and deletes project files, website assets, and design materials following project completion where no ongoing maintenance or management agreement is in place.

Asset Retention Period

All project files created by Mawer Design, including but not limited to:

  • Website layout files

  • Design assets

  • Graphics created in Canva

  • Logo variations (if created)

  • Raw design files

  • Exported versions

  • Content documents

  • Project notes

…are retained for a maximum period of 30 days after final handover.

Definition of Handover

“Handover” is considered complete when:

  • The final files, assets, or website credentials have been provided to the client

  • The final invoice has been paid in full

  • The project has been formally marked as completed by Mawer Design

The 30-day retention period begins from this date.

Retention of Essential Records


While most project-related files will be deleted from our systems and software 30 days after handover, certain essential documents will be retained for record-keeping and accounting purposes. These include invoices, contracts, and other legal or financial documentation necessary to comply with business and statutory requirements.

This ensures we maintain proper records for auditing, accounting, and regulatory purposes, while continuing to protect client privacy and reduce unnecessary digital storage.

After 30 Days

After the 30-day period:

  • All project files will be permanently deleted from Mawer Design’s systems

  • Access to shared folders (e.g., Google Drive, Canva link, etc.) may be removed

  • Mawer Design accepts no responsibility for recovering deleted files

  • A restoration or re-creation fee may apply if assets need to be rebuilt

Third-Party Platforms

Where files have been shared via third-party platforms (such as Google Drive, Canva, or website platforms), those platforms may retain copies in accordance with their own policies. Mawer Design is not responsible for data retained by third-party services once access has been granted or files have been shared.

Maintenance Clients

If the client is enrolled in an ongoing maintenance package, assets relating to the website will be kept for the duration of the agreement.

Client Responsibility

It is the client’s responsibility to:

  • Download and store all final files

  • Back up their website, content, graphics, or branding materials

  • Save any login credentials or passwords provided

Mawer Design is not responsible for loss of files after the 30-day retention period.

 

Exceptions

In certain circumstances, files may be retained beyond 30 days where reasonably necessary, including:

  • Legal or regulatory obligations

  • Ongoing disputes or claims

  • Active support requests
